Mobile Offline Access on Firefox Mobile (Heap CRM)

The offline mobile interface for Heap CRM now works on devices that run Firefox Mobile (most notably the Nokia N900). This is the very same software that you can run offline on your iPhone/iPod Touch, Android device, Palm Pre/Pixi or iPad.

To use the software offline, just go the mobile address ( You will be presented with a warning:

Once you accept, click to bookmark the site.

Depending on the dimensions of your device, you will either get the tablet or the phone version of the software.

Advanced E-Mail Commands within E-Mail Templates in Heap CRM

Advanced e-mail commands allow you to provide further actions to Heap CRM when forwarding/ccing e-mail to Heap. However, you can now use those same commands from e-mail messages sent from within Heap (e.g. timed e-mails, mass e-mail, e-mail templates).

This brings up a few use cases. Let's say you are developing an e-mail template for use in your organization and you want the person to always follow-up via phone one week later. You could do something like this:

You could use this technique to:

  • Create calendar events to indicate when you send mass e-mails
  • Setup success conditioned follow-up events
  • Pre-define categories in templates
  • Probably more that I'm not thinking of...

Get Alerts via E-Mail in Heap and Torch

You can now receive an hourly activity report via e-mail as an alternative to RSS. In the message section (in both Heap and Torch) you will notice a button that says "E-Mail Alert". This is a toggle. Just click on it and it will change:


You can also select a category first then click on the toggle. This allows you to select only the categories you are interested in.

You can also select individual messages. Just go to comments page and click here:


Specifically in Heap there is one more option. You can get E-Mail alerts for all messages and comments that are associated to a prospect where you are one of the managing users. Go to the dashboard and expand "Recent Prospect Activity":


No matter how many different categories, specific messages or different projects (in the case of Torch) you turn on, all the new messages and comments will be bundled together in one e-mail that you can look at once an hour.

Torch Project Management Affiliates Program & Enhancement to Heap CRM Affiliates Program

With Torch's affiliates program you earn credits towards your bill just by linking to the Torch website. Here's how it works: You place a link on your website, in an email, wherever. When someone signs up using the link you'll receive half of the first months revenue.

You can check your earnings, get links and images by going to the settings tab and clicking on the affiliates program button.

We've also added a feature to Heap CRM's affiliates program:


Now you can see the number of people who are currently in free trails that you have referred and may turn into revenue if they decide to continue service past the free 31 days.

Because so many people subscribe to the company blog for updates to Heap and Torch, I've been reluctant to post about side topics. So, I started to start a personal blog.

Right now, I have an example of how to use Heap's Simple API, a discussion of the new iMovie and the Peek. This is pretty representative of what I want to cover: basically anything that is connected in a way to the use of web apps.

The company weblog will continue to be the place for updates.

Smart Text in Heap CRM and Torch Project Management

Text fields in Heap and Torch just got a bit smarter. But I thought it might be time to summarize everything you already can do with text.

First, of course Heap and Torch detects e-mail addresses, web addresses, phone numbers and have some formating. But lots of products do that, this post is about what's weird.

The data detector finds different ways to IM people. See in this image it has detected, AIM, Skype and Yahoo (and a UPS number):

But you also can use it for lists (in addition to the to-dos on messages):

Collapsable Prospect Details Page

You can now collapse the main sections of the details page for leads, opportunity, customers and archives in Heap CRM.

This should allow you to move extremely large prospects much faster.

Heap CRM Dashboard – iPhone Native App

We were going to wait until this was available in the iTunes App Store, but we've gotten so many questions about it, that I thought it was time to share.

This is Heap Dashboard, our first (but not last) iPhone native app that connects to Heap CRM:

The goal of this app is not to replace the iPhone optimized version (in fact it links to it), but to provide mobile users of Heap quick (and offline) access to their most relevant data. The screenshot you see here is a shot of the prospect (leads, opportunities and customers) details page. A level up (in the navigation) is the list of prospects (where you are one of the managing users) and levels down include the message details page and the add message page.

Unfortunately, I don't know how long it will be until this is available. The app has been done for some time so it is completely in Apple's court.

Our general policy with "alternative interfaces" for our web apps is to give them away; and that's probably what will happen this time. But I'm not exactly clear on how Apple's business model works when the app connects to a pay-for web service.

So, if they request a portion of the monthly revenue from Heap CRM, we will instead charge some very minimal amount for the app in the store. We will give you a 70% credit (that's our cut) of the price to any user who requests it. It's not our goal to make money on the app itself.

Send Your Voice to Heap CRM

Ever needed to take a note when you only had a phone? Now you can with Jott. Jott is a service that converts voice messages to text and either sends them in e-mail or forwards them to a web 2.0 application (like Heap).

Here's how you set it up.

1) Sign-up for a Jott account at (it's free)* *(EDIT: This was true when this post was written, however, Jott has started to charge to connect to business services)
2) Go to the tab labeled "Jott Links"
3) Click on the "Add it Here" button on the right
4) OK, fill out this form like so:
